Contracts Administrator
Key Role
Administration of all contracts with our government and commercial customers. All work performed at Information Dynamics is conducted under formal contract agreements. Contracts define how we scope and prioritize the delivery of our services, and provide fiduciary and liability protection against those who try to demand services or conditions that exceed our negotiated agreements. Work performed for this job ins non-routine. It requires a high degree of interaction with administrative and professional staff. Attention to detail and accuracy is critical. Normal work hours are Monday through Friday, 8:00a - 5:00p. This is a full time hourly position with occasional paid overtime. Job location is 345 Broad Street, Elyria Ohio.
Qualifications
- Associate Degree in Business Administration with a minimum of five years of related experience and/or combination of experience and education/training
- Basic use of computer, web browser, and email. No training will be provided
- Ability to effectively interact with executive and project management
- Reliable Transportation
Critical Skills
- Ability to type 40 words per minute
- Reading comprehension a must
- Strong experience using MS Word and Excel. Advanced training will be provided
- Professional communication skills
Job Functions
Contract Administration Duties: Administer the daily contract management process and operational workflow for a variety of agreements including confidentiality agreements, consulting aagreements, non-disclosure agreements, service agreements, and subcontracts.
- Create files for each agreement, update files with ongoing correspondence, and manage the contract execution process both internally and with external parties
- Interact with customers and subcontractors to resolve issues concerning task orders and contracts
- Route and obtain all appropriate signatures necessary to approve and execute contract tasks and modifications to those documents
- Maintains original copies of contractual documents in prime contract legal files, and scan and enter executed contracts into contracts database
- Maintains contracts database; Creates reports needed by management from data contained in database such as deliverable schedules and due dates
- Prepares deliverable schedules to support project managers of required deliverables and schedules
- Ensures weekly/monthly reporting is preformed for all Tasks
- Reviews and signs off on contract deliverable items
- Supports the Business Manager in preparation of proposals through preparation of items such as Representations and Certifications, obtaining and providing past performance information, and locating related experience
- Assembles and transmits proposals to prospective customers. Interfaces with accounting, pricing analysts, program and project management, and purchasing as necessary to administer purchase orders under contracts
Financial Reporting Duties: Prepare financial reports as required by each contract and subcontract. Reporting types and structures will vary by contract.
- Create spreadsheets to track labor, purchased goods, and services, and travel costs for each Task under each Contract
- Collaborate with project managers on types of reports needed, reporting format, and types of information needed to effectively manage projects
- Prepare Project Costs Reports (PCR) for each project manager to reflect actual versus planned costs, including costs for all subcontractors
- Prepare end-of-month financial reports for required contractual reporting
